Toolkit ("the App," "we," "us," or "our") is committed to protecting your privacy and ensuring transparency in how we handle your personal data. This Privacy Policy explains our practices regarding data collection, usage, and protection for all users of the Toolkit mobile application.
By downloading, installing, or using Toolkit, you agree to the terms outlined in this Privacy Policy. If you do not agree with our practices, please do not use the App.
Data Collection
Account Information
When you create an account using Google Sign-In or email authentication, we collect your email address, display name, and authentication credentials. These are used to authenticate your identity and provide personalized features.
Document & File Data
We collect documents, PDFs, images, and files you upload or create within the App. This includes CVs, resumes, converted documents, and any files you process through our document management tools. Files are stored securely in Firebase Storage.
OCR & Image Recognition Data
When you use our OCR feature powered by Google ML Kit, the image data is processed to extract text. The original image may be sent to Google's servers for text recognition, and extracted text data is stored in Cloud Firestore.
Usage & Activity Data
We automatically collect information about your interactions with the App, including features used, processing times, error logs, and device information. This helps us improve functionality and troubleshoot issues.
Device Information
We collect device information such as your device model, operating system version, unique device identifiers, and app version to ensure compatibility and optimize performance.

Firebase & Cloud Services
Third-Party Cloud Infrastructure
Toolkit uses Google Firebase to power critical infrastructure components:
Firebase Authentication
Manages secure login with email/password and Google Sign-In. Your authentication data is encrypted and handled according to Google's privacy standards.
Cloud Firestore
Stores your document metadata, CV templates, extracted OCR text, and app settings. All data is encrypted in transit and at rest.
Firebase Storage
Securely stores your uploaded documents, PDFs, images, and generated files. Access is controlled by your authentication and user-specific permissions.
Firebase Real-time Database
Used for synchronizing real-time data and maintaining app settings across your devices.

Google ML Kit & OCR Processing
Our OCR (Optical Character Recognition) feature uses Google ML Kit to extract text from images. When you use this feature:
On-Device Processing
Basic text recognition may occur on your device locally.
Cloud Processing
For enhanced accuracy, image data may be sent to Google's Cloud Vision API for processing.
Extracted Text Storage
The extracted text is stored in Cloud Firestore for your access and editing.

File Storage & Management
Your Files, Your Control
All files you upload or create within Toolkit are stored securely in Firebase Storage. Only you have access to your files through your authenticated account. Files are encrypted during transmission and at rest.
File Encryption
Sensitive files can be encrypted using our file encryption feature before storage or sharing, providing an additional layer of security.
Backup & Recovery
We maintain backups of your files to ensure availability and recovery in case of data loss. These backups follow the same security and encryption standards as your primary data.
File Deletion
When you delete files from the App, they are permanently removed from Firebase Storage. However, backups may be retained for a limited period for recovery purposes.

End-to-End Encryption
Data is encrypted during transmission using TLS/SSL protocols

Data Retention
We retain your data as long as your account is active or as needed to provide the App's services. Here's how we handle different types of data:
Account Data
Retained for the duration of your account. You can request account deletion, which will remove your data within 30 days, subject to legal retention requirements.
User Files
Retained indefinitely until you delete them. Deleted files are permanently removed, except for backups retained for 30-90 days for recovery purposes.
Activity Logs
Retained for 12 months for security and analytics purposes. After this period, logs are anonymized or deleted.
Backup Data
Maintained for 30-90 days after deletion for recovery purposes, then permanently deleted.
